JOB TITLE Supervisor : General Administration
SCOPE AND GENERAL PURPOSE Together with Management Team is responsible for planning, organizing, leadership, management co-ordinating, motivating, training and discipline within the department.

Cheque Account Clerk

Savings Account Clerk

Investment Clerk

MAIN DUTIES
Controls:

Controls and checks that dept functions correctly to laid down procedures

Maintains the rotation schedules for the dept

Maintains the diary for the dept

Control the mandate for the dept

Overdrawn savings accounts

GL and suspence accounts

Credit bureau checks for the dept

Control the registers in the dept

Control the sending of documents to CPU

Stationery in the department

Control all requests for the day

Control ARAC enquiries

RRO’s

Dual Control:

Mailbox key

Tasks:

Check that accounts are opened in the correct section

Signing of documents

Control list of possible stop payments

Control that all the requested enquiries are correctly done

 

 

 

Do all special enquiries

Leave programmed for department

Self development

Training plan for the department

Maintain a rotation plan for department

Do Key Performance Areas for dept

Checking cheques from ClD

Relieve at tellers

Checking of the following:

Uncleared effects

Attendance register

Reconciliations of the dept

Mandates for the dept

Capture documents

Accounts opened, closed and transferred

Stamps

Fixed deposits and Special deposits

Balancing

Correspondence for department

Cheques for payment

Rotation of staff schedule

Daily controls and details

Stop payments

Returns

Telephone, telex, telegrams incoming/outgoing messages

Recovery of commissions

Payment of accounts

INV’s

Certificates of balance

Auditor queries

Outgoing mail

Irregular savings accounts
